Your fax list may be submitted as a comma-separated value (CSV), Microsoft Excel® .XLS or .XLSX file.
Non-personalized fax list formatting remains the same as a non-personalized fax.
Customizing your document
List File
Your list file will contain:
A fax number, a To field and any other fields you wish to use in the personalization of your document.

To Header
- The To header is an optional field.
- Openfax will use the first 15 characters of this field on the header of the fax near the time and date stamp printed on each fax page.
- The field may contain values longer than 15 characters, however, the value will be truncated to the first 15 characters.
- The To field value also appears in your completed fax detail report for the transaction.
Duplicates
When using personalized / mail merge faxing duplicate fax numbers will not be removed from your list.
Additional Fields
You may have up to 20 additional fields with your list.
Document Template File
- Your document template must be a Microsoft Word® .DOCX file.
- The template file may be multiple pages, but may not be combined with other documents used in the personalized fax broadcast.
- Do not use the native Microsoft Word® mail merge functionality.
How we personalize your document:
Openfax mail merge engines will look for placeholder your documents enclosed within a symbol. This symbol must not be used in another textual reference within the document.
For example, if your document uses the character # in any way such as “Contact us at Toll free#: 1-866-673-6329.” The # may not be used to enclose your placeholder text. We recommend using the ^ character.
- Openfax will look for the exact matching headers in your list enclosed within a symbol on your document.
- You must use the same symbol to at the start of your placeholder and at the end of the placeholder.
